Job Description

This position provides responsible and varied administrative support for the Office of Advancement – University Programs. As a member of the shared services support team, you will be crucial in providing comprehensive support to the units under University Programs, including Gift Planning, Regional Advancement, Corporate Relations, Foundation Relations, Graduate Education, and Student Success. You will handle various administrative tasks, ensure effective communication, and deliver exceptional customer service to internal and external stakeholders.
  • Collaborate with team members to streamline processes, enhance efficiency, and contribute to the overall success of University Programs by supporting fundraising initiatives.
  • Assist fundraisers with travel arrangements, reconcile OneCard statements, prepare expense forms for travel reimbursement, and enter itineraries into the CRM database.
  • Support the coordination and scheduling of staff meetings and events, including reserving rooms, ordering catering, requesting parking permission, preparing packets, and managing invitation lists, mailings, and RSVPs.
  • Gather, organize, and summarize information requested by the supervisor or staff to provide accurate data/information necessary using research techniques.
  • Review/verify information on departmental income and expense reports and request corrections when necessary to ensure accuracy.
  • Look up and verify data in the CRM database and pull various donor lists and fundraising reports.
  • Assist with activities and events associated with giving societies (e.g., Chancellor's Fund for Excellence, Legacy Society). Responsibilities include tracking memberships, preparing welcome letters, entering marketing responses, and requesting database changes.
  • Order supplies and printed materials and keep regular materials in stock.
  • Coordinate livestream, webinar and/or podcast productions, assisting outside departments and groups with platform utilization for virtual events. (5%)
Shift

M-F 8am-5pm with occasional after business events

Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications
  • Bachelor's degree with at least one year of previous office experience.
  • Computer and technology proficiency (Outlook, Excel, Word, and Adobe software).
  • Demonstrated success in time management, calendaring, and coordinating meetings.
  • Experience with PeopleSoft Financials, Travel & Expense and Non-PO Vouchers.
  • Detailed-oriented, self-starter with excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
Anticipated Hiring Range

Salary Range: $20 - $21/hr

Grade: GGS-007
