Brief Summary of Job Description
This position is responsible for all activities related to maintaining student academic records and institutional course data; for data integrity and facilitating the recording and management of all student records; for all functional duties performed in the Office of the Registrar as well as the provision of those academic and student records services needed to support the academic programs of the University. The Registrar is responsible for the maintenance, accuracy, and security of the permanent academic records of all current and former UNK students and is the University official responsible for FERPA compliance. Additionally, the Registrar is responsible for the development of academic support services such as degree audit, and policy interpretation, enforcement and development and for the daily operation of the office, which includes direct supervision of full-time and part-time staff.
Job Duties
- Manage personnel and operations of the Registrar's Office.
- Develop, implement and evaluate all procedures governing the maintenance and security of academic records.
- Authorize access to users of academic data and provide relevant training.
- Oversee the use of a computer database to support registration, course scheduling, academic record maintenance.
- Provide strategic planning, direction, and supervision for the Office of the Registrar.
- Interpret and ensure compliance with record-keeping standards, as well as UNK policies and procedures, and ensure that all functions of the office are performed according to standards of the profession as established by AACRAO and in compliance with federal rules and regulations, especially pursuant to FERPA.
- Formulate, seek approval for and administer academic policies/procedures/regulations and interpret the same to faculty, staff, students, parents, and external publics. Provide training to staff to ensure said policies are communicated accurately and efficiently.
- Cultivate an environment that is student-centered, supporting student success and retention.
- Confer regularly with the SVCASA and other university personnel to plan, coordinate and evaluate policies, systems, activities, exchange information, interpret policies, investigate and resolve problems to continually improve the services of the Office of the Registrar.
- Supervise/manage functions within the Office of the Registrar including overseeing office budgets, the student information system, electronic records storage, registration, student academic records, recording transfer credit, degree audit, graduation, athletic eligibility and certification, course scheduling, developing the academic calendar for approval by the faculty and administration, and updating the online curriculum database.
- Serve on committees to facilitate academic operations of the institution such as the Academic Affairs Committee of Faculty Senate, General Studies Council, Enrollment Management Council, Student Services Advisory Committee, Student Success Task Force and others as requested by the Senior Vice Chancellor for Academic & Student Affairs.
- Develop transferability agreements and policies with community colleges, international and other degree-granting institutions.
Required Qualifications
- A Master's degree from an accredited institution of higher learning is required.
- Experience must demonstrate working knowledge of the use of complex computerized student information systems.
- Must have exceptional attention to detail, strong management and organizational skills, excellent interpersonal and communication skills, be self-motivated to work independently yet have the ability to collaborate with a team.
- Capable of using technology in the management of academic information.
Preferred Qualifications
• Employment history must reflect a minimum of five years of progressively responsible experience in successful planning, management, and administration of a comprehensive academic records office.
• Experience in a multi-campus system.
Physical Demands
Schedule: Monday - Friday, 8 am - 5 pm, 40 hours
