Position Summary Information
Position Summary
Provides receptionist duties for the dean's office:
• Answering telephones
• Greeting visitors
• Handling inquiries from faculty, students, parents, alumni, administrators and the public
Process mail for the office staff:
• Opens, sort, stamp and distributes regular mail
• Seeks any back-up materials associated with the subject of the mail
• Appropriately updates the calendars of the dean based on electronic and/or regular mail information
• Maintains appropriate e-mail and mail lists
Maintains calendar for dean:
• Schedules, cancel and reschedules individual or group meetings
o With Chairs as required by dean
o Individual requested meetings
o With students, faculty, visitors, and staff as requested
• Keeps office staff aware of upcoming events and deadlines
Maintains, regularly updates and manipulates complex databases for the College:
• Uses spreadsheets (i.e. Excel)
• Maintains an electronic and paper filling system as needed
• Databases include correspondence and other documentation related to students, faculty, staff as well as department, offices, committees and/or publications
Assesses student matters, staff matters and issues within the college and apprises office staff up to and including the dean:
• Composes correspondences, which direct others in the college to respond to requests for information
• Composes correspondences of inquiry or explanation relating to College and academic policy, procedure and/or practice
Provides secretarial support to the dean:
• Processes letters, reports, contracts, transmittals, forms, memoranda, etc.
• Proofreads for accuracy, punctuation and other mechanics, format and consistency
Processes faculty travel requests and travel vouchers:
• Verifies that information is accurate, compliant and complete
• Submits for the dean's approval
Processes documents for the dean's office:
• Type purchase requests
• Prepare general invoices when they turn to PO's
• Process payment as needed
• Maintain an electronic and papering filing system as needed
Assists with the planning of special events by:
• Scheduling space
• Handling logistics
• Working with catering
• Handling event promotion
• Invitations
Works with other college clerical staff in the college:
• To update them on clerical methods, procedures and processes
• To communicate standard/style guides and formats as needed
• Provide additional clerical assistance to departments as needed
Assists and closely collaborates with the administrative assistant:
Arranges professional travel
• Transportation and hotel accommodations
• Processing travel forms and documents
Prepares and processes work orders as needed:
• Printing services
• Word processing center
• Help desk
• Supplies and materials
Processes purchase card information for college, including all departments within college
Works with Facilities and IT to ensure cleanliness, functionality, safety, comfort and readiness of buildings, classrooms, offices and other spaces in the College
Works with personnel form other Colleges as necessary and as assigned on projects necessary for the good of programs, students and/or faculty/staff excellence
Maintains confidentiality as required by the subject matter
Other duties as assigned by the dean, assistant to the dean and administrative assistant
Minimum Qualifications
Six months as a clerical assistant 2 or any equivalent combination of clerical experience and training. A successful interview is required.
Preferred Qualifications
Experience in the following areas preferred: Microsoft Office and database management; web maintenance; budget maintenance and use ofSAPprogram; experience with SourcePoint; developing and maintaining a filing system; ordering and maintaining office supplies; and working with diverse populations. Excellent written and verbal communication skills and the ability to multi-task are also preferred.
