This work unit exists to support the educational mission of the College by providing essential financial functions. The Accounting Office performs collection and disbursement activities for students, faculty, staff and external vendors; generates and preserves financial records of the institution (accounts receivable, accounts payable, cashiering, payroll, grants and contracts, and debt payments); completes annual financial statements and required state, federal and management reports; develops and enforces policies to ensure that transactions are accurately recorded; that expenditures are made in accordance with the College's fiscal rules, federal grant provisions and contractual agreements; produces federally required tax forms; and protects the College's assets from loss and/or misuse, for the enhancement of Fort Lewis College and the learning environment.
This position exists to support the mission and policies of the Finance and Administration Department by providing technical accounting support to the Accounting Office.
Duties include:
Cashiering 45%
Responsible for collecting, recording, depositing, and reconciling all incoming payments to the College, daily.
Payments received must be recorded accurately in the accounting system.
Payments will include student account payments, private scholarships, departmental deposits, grant deposits, State funding deposits, campus commerce deposits, and others.
Responsible for developing and monitoring controls that ensure deposits are recorded accurately and adequate controls exist to protect College assets.
Investigates and resolves discrepancies.
Enforces, maintains and updates college cashiering policies.
Support departments on campus with their deposits and cashiering needs.
Prepares and monitors petty cash and change funds, coordinates cashiering for the annual POWWOW in April, distributes receipts, troubleshoots problems with the campus cashiering software, and supports the one-stop shop for students (Skyhawk Station).
Answers, researches and resolves questions concerning amounts receipted into specific budget codes.
Monitoring of cash payments received for 8300 reporting.
Student Billing 45%
Answers questions from students, college employees, and other third parties about student account charges and payments and refers questions to the appropriate offices and College personnel, if necessary.
Assists the Student Billing Specialist (Accounting Tech III) with the collections process.
Sends a series of letters and makes phone calls to attempt to collect the student debt before submitting the account to collections. Extended payment plans can be used to help in the collections process.
Authorizes and generates disbursements for financial aid awards due to students after institutional obligations have been paid (i.e. processes student refunds).
Audits are performed to verify the student refunds are appropriate and accurate, including monitoring the return of financial aid (Title IV aid). If an error is detected the appropriate department is contacted and the error is corrected. Refunds will be audited and set daily.
Generates student billing statements weekly.
Backup for the Student Billing Specialist (Accounting Tech III). This includes third party billing, collection management, late fee management, bookstore charges reconciliation, preparation of billing for new terms, year-end tasks, and other billing related tasks.
Monthly review and follow up of outstanding student checks
Additional Duties 10%
Distribute checks to employees
Weekly check printing and assembly for AP checks
Assist with fiscal year-end tasks
Assist with 1098-T outreach for social security numbers
Test software upgrades, and help with software implementations when needed.
Invoice third parties monthly for money owed to the College. This includes courses taught by the College under a memorandum of understanding (MOU) and agencies that buy our goods and/or use our services.
Monitors third party payments.
Collection outreach is done on past due bills.

MINIMUM QUALIFICATIONS:
Education and Experience:
Three years of technical accounting experience. Technical accounting is defined as any accounting process which typically includes recording, classifying, verifying and reporting
Substitutions:
Appropriate college level or business school accounting coursework will substitute for the required experience on a year-for-year basis. A copy of your unofficial transcripts must be submitted at the time of application if using this substitution.
