NATURE OF WORK
Under general direction, performs a wide variety of difficult clerical, stenographic and quasi-administrative work.
EXAMPLES OF WORK PERFORMED
Performs a broad spectrum of stenographic, secretarial and technical duties for the head of a large department; composes and types correspondence using Windows-based word processing applications.
Takes oral dictation and transcribes from dictation or from a recording; types and composes memoranda and reports; takes and transcribes minutes of board and related groups; screens office and phone calls by furnishing information requested and making appointments; gives out information on a variety of matters and refers visitors to proper officials.
Prepares reports by finding, assembling and summarizing information and data; establishes and maintains files and systems; prepares notices for publication; exercises discretion if the superior is not available for advice; keeps various financial and statistical records.
Prepares time logs and payroll; processes accounts payable and receivable; prepares claims for approval and payment; participates in preparation of grant applications and monitors expenditures of grant funds; takes and transcribes minutes for Council committees, the administration, and the Civil Service Commission when assigned, and performs secretarial duties for the Animal Control Commission and similar boards as needed;
Prepares personnel reports and records; schedules and indexes, codes and files bills, vouchers and other documents; operates a variety of office and computer equipment including Windows-bases applications or applications specific to the host department; performs quasi-administrative functions in assisting in office or operational procedures; maintains department budget records; may be responsible for petty cash.
Performs other work which is consistent with the essential elements of the job.
DESIRABLE KNOWLEDGE, ABILITIES AND SKILLS
Thorough knowledge of office procedures, practices and equipment and department functions.
Thorough knowledge of principles, practices and functions of the organization and ability to organize the office.
Knowledge of English, spelling and ability to post and make arithmetical computations rapidly and accurately.
Ability to take dictation at a minimum corrected speed of 80 WPM and to type from clear copy at the rate of 60 WPM.
Ability to perform a variety of difficult clerical and stenographic tasks under pressure.
Ability to maintain confidentiality of information passing through and in the office.
Ability to meet the public courteously and to obtain and give information.
Ability to establish and maintain effective relationships with employees, officials and the public.
EXPERIENCE AND TRAINING
Any combination of experience and training equivalent to graduation from high school, with or supplemented with courses in business, bookkeeping, shorthand and typing, and four years of responsible clerical experience involving the use of stenographic, bookkeeping, and computer and word processing skills. Demonstrable competency in using the latest Microsoft Office including Word, Excel and Access.
SPECIAL REQUIREMENTS
May require certification as a Notary Public in the State.
Days/Time: Monday thru Friday, 8:00 AM to 5:00 PM, Full time with benefits

Salary Range: $18.92 (per hour) to $27.80 (per hour)
