Assistant Director of Operations, Auxiliary Services
Budget Title: Senior Staff Assistant (SL-3)

Binghamton University Auxiliary Services enhances the university experience for students, staff, faculty, and alumni with the provision of important services including Binghamton University Dining Services (BUDS), which partners with Sodexo to deliver quality meals with superior service to the campus. BUDS works with the Student Culinary Council, a student-led organization dedicated to continuously improving the dining experience on campus in exciting and new ways.
In addition, Auxiliary Services manages the relationships between the campus and partners such as banking services (Visions Federal Credit Union), the Binghamton Bookstore (Barnes & Noble), the Campus Pre-School, Pouring Rights (Coca-Cola), Vending services, Laundry services, Campus Food Pantry, and BU Acres. Auxiliary Services also oversees the Binghamton Auxiliary Services Corporation (BASC), a non-profit corporation created to ensure superior services and enhance revenue generating opportunities for campus.
Recently, the Binghamton University Foundation purchased the Binghamton Tennis Center in May 2022. An affiliate of BASC (BASC Mill Street, LLC) has assumed management of the center's operations and oversight of upcoming renovations. The Binghamton Tennis Center is the official year-round home of the Binghamton University Bearcats Division I varsity tennis teams, and remains open to the public, offering contracts, memberships, tournaments, clinics, lessons and more.
ROLE AND RESPONSIBILITIES:
The Assistant Director of Operations will provide leadership and oversight of Auxiliary Services core physical operations which will include but not be limited to facility management, business operations, fiscal and regulatory compliance, and collaborative relationships with campus partners.
- Responsible for the general oversight of internal operations, in particular the areas of facility and equipment management and facility projects, large scale events/activities and university/community outreach.
- Responsible for Binghamton Tennis Center Daily Business Operations to include, but not be limited to:
- Deposits, credit card reconciliation, petty cash, log reviews, establish and maintain credit accounts with vendors, voucher preparation, purchase order preparation, P-card reconciliation.
- Responsible for management of Club Automation front and back end.
- Serve as Campus Liaison with IT, Physical Facilities, University Police, EH&S and others.
- Responsible for timely and accurate production of payroll, wage and hour compliance and provision of associated first-level human resource support.
- Coordinate and meet regularly with Physical Facilities to identify, prioritize and execute facility upgrades and preventative maintenance in support of auxiliary services partner operations to ensure accessibility and quality of experience.
- Establish and maintain standards of housekeeping, maintenance, and repairs commensurate with the preservation and stewardship of property, safety, functional use and aesthetic values.
- Assist with the processing of Auxiliary Services and BASC A/R and A/P vouchers and PO's, contracts, record-keeping.
- First Day Inclusive Access Program support and expansion.
- Responsible to continue to develop and manage the Auxiliary Services Equipment Asset Management program.
- Responsible to continue to develop and manage the Auxiliary Services Equipment Preventative Maintenance program.
- Responsible for developing and managing the Auxiliary Services Quality Assurance / Key Performance Indicators (KPI) processes and feedback loops.
Requirements:
- Bachelor's Degree in a related field of study and 3-5 years of professional experience in contract management, business office operations, project management, financial management or other related experience.
- Strong communication skills, both oral and written, with strong customer service orientation.
- Able to plan, organize, establish and maintain multiple tasks.
- Strong problem-solving and resolution skills.
- Strong project management skills and detail orientation.
- Cultural competence with the ability to lead in a dynamic community with a diverse student body.
- Able to plan, organize, establish and maintain effective data management systems.
- Applicants must have a valid state driver's license.
- Auxiliary Services is expanding the team and looking for someone who can adapt to change, is open to innovation and who can work both independently and collaboratively with multiple partners on and off-campus.
- Visa Sponsorship is not available for this position.
Preferred Qualifications:
- Master's Degree in business or a related field of study.
- Lean 6 Sigma or like certification for efficiency and process improvement.
