Job Description:

Amherst College invites applications for the Coordinator of Alumni Networks and Constituent Programs position. The Coordinator of Alumni Networks and Constituent Programs is a full-time, year-round position, starting at $21.93 per hour. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the ways in which they bring value to and will work towards supporting a broadly diverse community.

The Coordinator provides key administrative and logistical support to the Alumni Networks and Constituent Programs team in the production of approximately 200 off-campus programs per year that serve a highly diverse community. This role schedules and tracks multiple event-related tasks; develops and sends email blast invitations; maintains the Regional Programs web page; and creates reports using event and attendee data that will help the team strategically evaluate events. This role provides periodic support to staff working with alumni classes and volunteers on class programs and communications.

The person in this role is expected to work as part of a collaborative and inclusive team including taking appropriate actions to support a diverse workforce and participating in the College's efforts to create a respectful, inclusive, and welcoming work environment. In addition, all advancement staff members are required to support and staff key events such as Reunion, Homecoming, and Family Weekend. These events require occasional evening and weekend hours.

Summary of Responsibilities:

REGIONAL EVENT SUPPORT
  • Prepare mailing lists, email mailings, event notices, and promote events through the website and events calendar.
  • Process, deposit, and reconcile financial transactions.
  • Prepare and mail packets to diverse alumni regional volunteers.
  • Prepare regular reports on financials, events, and attendance for regional volunteers.
  • Maintain regional volunteer materials, including the Volunteer handbook, webpages and committee lists.
  • Track pre-event needs and order event supplies.
  • Issue and compile event and association surveys.
  • Code registrants and participants in database.
  • Produce event and attendee data reports, and run and complete monthly credit card reports.
  • Run queries to identify potential and diverse event hosts or speakers.
  • Maintain all event records, including invitations, mailing lists, speakers, hosts, etc.
  • Serve as liaison with Operations and Advancement Reporting and Systems to maintain and update web and data functions, troubleshoot applications and reports, evaluate and make process improvements as needed.
  • Assists in creating an inclusive and inviting environment for a diverse set of constituents at events.


GENERAL ADMINISTRATIVE SUPPORT
  • Provide periodic outreach to a diverse array of regional volunteers, vendors, caterers, and venues.
  • Maintain the Regional Programs webpage (including registration forms, event listings, etc.).
  • Maintain coding of regional volunteers.
  • Support the Assistant Director by coordinating the logistics with Williams College staff for annual telecast of Amherst vs. Williams football game and other intercollegiate collaborations.
  • Coordinate travel arrangements for a diverse group of faculty members, including processing reimbursements.
  • Create/run contact, demographic, event attendance, and other reports for regional volunteers.
  • Backup the receptionist as needed.
  • Responsible for staffing and responding to the alumni@amherst.edu account and other advancement email accounts.
  • Schedule, take notes and provide administrative support for meetings such as, but not limited to, association meetings, working group meetings and team meetings.
  • Update and manage data in the database which includes, but is not limited to, coding attendance, events, speakers, gifts, etc.


​Qualifications:

Required
  • High School Diploma or equivalent.
  • 2-4 years of related experience.
  • Attention to detail.
  • Proficiency in Microsoft Outlook, Word, and Excel and the ability to learn new software programs.
  • Commitment to or experience working with diverse communities.
  • Ability to take initiative and work independently and collaboratively.
  • Strong written and verbal communication, interpersonal, customer service, time management, and organizational skills.
  • Occasional weekend and evening hours are required to staff on-campus events.


Preferred
  • Associate's Degree or some college/university coursework.
  • 3+ years of related experience.
  • Demonstrated knowledge of specialized computer and database programs such as broadcast email software and other programs such as the credit card payment app, and Workday.
  • Experience updating content on web pages and working with HTML.
